Job summary & Application Information – Business Support Officer
You will support the smooth running of Beyond Empower by providing high-quality administrative, organisational and communication support across the organisation. This includes coordinating enquiries, maintaining accurate records, supporting board and team meetings, updating digital systems, and assisting with basic financial and promotional administration.
You will be able to communicate clearly and professionally with a wide range of people, manage multiple tasks calmly, and keep information organised, accurate and confidential. You will be confident working with IT systems, spreadsheets, emails, digital tools and online platforms, and be able to adapt to new systems quickly.
You will be able to work independently as well as part of a team, supporting the Managing Director with diary coordination, preparing documents, distributing information and ensuring day-to-day operations run smoothly. You will also support wider staff by arranging meetings and events, updating the website and mailing lists, scheduling social media content, and keeping administrative systems efficient and up to date.
With a record of reliability, good organisation and self-management, you will be able to work flexibly from home and within the community when needed. Job summary – main purpose of the post:
To provide high-quality administrative, organisational and communication support across Beyond Empower, ensuring the smooth running of day-to-day operations. This includes maintaining accurate records and reporting systems, supporting board and team meetings, acting as a first point of contact for enquiries, and assisting the Managing Director with diary and information coordination.
The role also supports the organisation’s promotional activities, including scheduling social media, managing mailing lists, updating the website and helping coordinate related events.
Main duties:
1. Information, advice and guidance
- Act as the first point of contact for enquiries via telephone, email, post and social media.
- Provide basic information and advice to local people about services and opportunities.
- Handle and direct incoming correspondence appropriately.
2. Data management and record-keeping
- Maintain accurate digital records, databases and CRM entries.
- Support the Managing Director with producing short reports, collating statistics and gathering information.
- Assist with basic financial administration including invoices, expenses and small event budgets.
- Gather and distribute relevant organisational information as needed.
3. Promotion and marketing
- Assist with scheduling social media posts and coordinating content.
- Keep the website up to date and maintain mailing lists.
- Support digital activity, publicity materials, events and team content planning.
4. Support for Board, Manager and staff
- Organise and service board meetings and committees, including preparing and distributing papers.
- Assist with organising meetings and events.
- Maintain accurate records and ensure smooth administrative processes.
- Provide wider administrative support to the Managing Director, service staff and associates.
5. Suppliers and contractors
- Maintain a register of key suppliers and advisers.
- Monitor relationships with suppliers and contractors, reporting annually to inform retendering.
