Volunteer Coffee Morning Assistant - Willow Wood Hospice

The coffee mornings are held at the Hospice every first Saturday of the month between 10am and 12pm

Tasks the volunteer will be required to do:

• On the week running up to coffee morning, a designated member of the team will co-ordinate which volunteers are available and also liaise with anyone who is making/providing the cakes to ensure that we have enough to sell. Also need to ensure that there are enough raffle/bingo prizes. Need to keep an eye on stock of raffle tickets and bingo tickets and order when needed.
• Liaise with WW Kitchen Manager to ensure provisions provided by the Hospice are ordered
• On the Friday evening before coffee morning, those volunteers who can make it, come to the Hospice to set up for the following morning to ensure that we are ready on time – this involves moving all the chairs and tables and setting up the cake stall and shop. Emptying the cages that come from the Distribution Centre with all the shop items and anything else that is required for the following day.

DUTIES ON COFFEE MORNING DAY
• 2 X volunteers on the pay desk – taking money for entry and also selling raffle tickets
• Volunteers (numerous) in the ‘Orangery’ – coffee morning shop, manning the various stalls. Selling and taking money.
• Making sure that all the tables have been set up with biscuits and sugar.
• 2 x volunteers in the day services kitchen – collecting and washing pots – one of these volunteers making the coffee and decanting into the thermal flasks.
• 2 x volunteers behind the cake stall – selling and taking money
• Numerous volunteers to take the orders and deliver the drinks to the customers – also collect pots for washing.
• 2 x volunteers selling bingo tickets.
• Bingo calling.
• When all the customers have gone, all the tables need to be cleaned and then along with the chairs they need to be put back to where they came from. All the crockery needs to put away.
• The cages that we store all the coffee morning items need to be re-packed to be sent back to the Distribution Centre on the Monday morning.
• Designated volunteer to collect all the monies in from the day, count and deliver to the Finance Team at the Hospice.
